Many accountable institutions are comfortable verifying a client’s identity, but source of funds checks often remain a blind spot. A certified ID, bank statement or proof of address may confirm who a client is, but they do not necessarily explain where the money being used in a transaction originated. From a FICA perspective, understanding the source of funds means establishing how the specific funds involved in a transaction were obtained and whether that explanation makes sense in the context of what is known about the client.
A common mistake is to treat source of funds as a document collection exercise rather than an investigative process. A client may state that funds originated from an inheritance, property sale, business proceeds or a family gift, but these explanations should be supported by appropriate evidence where necessary. The real value of source of funds checks lies in applying professional scepticism and asking whether the transaction is consistent with the client’s profile, occupation, financial position and expected activity. If something appears unusual, further enquiries may be required.
Effective source of funds verification requires curiosity, context and judgement. Compliance officers and onboarding staff should look beyond the paperwork and consider whether the explanation provided is reasonable and adequately supported. As AI and document manipulation tools become more sophisticated, relying solely on uploaded documents may no longer be sufficient.
For accountable institutions, the lesson is straightforward: source of funds checks are not about ticking a compliance box. They are an important part of the risk-based approach required by FICA and can provide valuable insight into whether a transaction is legitimate or warrants additional scrutiny. In many cases, the most important question is not whether documentation has been obtained, but whether the institution genuinely understands where the money came from.
